To be able to provide you, our customers, with products and services such as vehicle valuations, finance product information or to register your new vehicle we need to collect some personal information from you. We collect information such as names, addresses, phone numbers and email addresses as well as but not limited to the registration number, mileage and the general condition of the vehicle currently owned. These companies are data processors for W R Davies (Motors) Ltd and only process personal information in line with our instructions. PERSONAL INFORMATION PROVIDED BY THIRD PARTIES

Occasionally we may receive information about you from other sources (such as credit reference agencies, financial providers, medical professionals, or your employer), which we will add to the information we already hold about you in order to help us improve and personalise our service to you. We will always seek your permission to contact these people for your information.

The information we collect may include:

  • Basic personal details such as your name, address, e-mail address, telephone number, date of birth or age, gender, marital status;

  • Sensitive personal information may be collected where a vehicle is purchased under the Motability scheme. This may include details of any medical conditions. We will always be clear to explain when and why we need this information and the purposes for which we will use it and will obtain your explicit consent to use sensitive personal information;

Personal information about other individuals

If you give us information on behalf of someone else, you confirm that the other person has appointed you to act on his/her behalf and has agreed that you can:

  • give consent on his/her behalf to the processing of his/her personal data;
  • receive on his/her behalf any data protection notices;
  • give consent to the transfer of his/her personal data abroad; and
  • give consent to the processing of his/her sensitive personal data, e.g. health information.

Sensitive personal information

We may ask you to provide sensitive personal information, for example where you require us to tailor our goods or services to an existing physical condition e.g. as part of the Motability Scheme, or where you are applying for a finance or insurance product and we are required to enquire whether you have committed a criminal offence. SECURITY AND PERFORMANCE

W R Davies (Motors) Ltd uses a third-party service Automotive Transformation Group Ltd, to help maintain the security and performance of the W R Davies (Motors) Ltd website. To deliver this service it processes the IP addresses of visitors to the W R Davies (Motors) Ltd website.


COOKIES & 3RD PARTIES AND COOKIES

When someone visits W R Davies (Motors) Ltd we use third-party services, namely Google GA4 formerly known as Google Analytics, a web analytics service provided by Google, Inc ("Google") to collect standard internet log information and details of visitor behaviour patterns. ONLINE VEHICLE RESERVATION TOOL

We use a third-party provider, Codeweavers Limited, to supply and support our online vehicle reservation tool. Your name, email address, phone number and postcode will be collected if you use this service. This data will be stored by Codeweavers on W R Davies (Motors) Limited behalf and passed to us to discuss your reservation with you. Please refer to the Codeweavers Limited Privacy Policy.

Payment Card details are passed to our payment gateway provider Stripe, Inc. only and are not stored by Codeweavers Limited or W R Davies (Motors) Limited. The information that Stripe, Inc. collect will include the credit or debit card number, the purchase amount, the date of purchase, and the payment method.

PEOPLE WHO CONTACT US VIA THE WEBSITE

When you contact us through the website, the information you submit is collected and stored in line with our retention policy. There are various areas where you can ask us questions or request for us to carry out a service for you. These include the new and used vehicle pages where you can contact us or make an enquiry by giving us your e-mail address and contact numbers, our service, parts and accident repair centre where you will be asked for name, address, e-mail, how you wish to be contacted and what service you require. We may also request vehicle make, model and registration where it is necessary. Where enquiries are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.


PEOPLE WHO USE OUR LIVE CHAT SERVICE

We use a third-party provider, Keyloop (UK) Limited, to supply and support the Live Chat service which we use to handle customer enquiries in real-time. If you use the Live Chat service we will collect your name, and email address (optional) and the contents of your Live Chat session will be managed through our lead management system RAPID RTC and Enquirymax Limited. This information will be retained for two years and will not be shared with any other organisations.

PEOPLE WHO CALL OUR TELEPHONE NUMBER

We do not record telephone conversations with you. If you call us via a third-party tracking number we can access this e.g. eBay Motors Limited. We only use this information to help improve our internal efficiency and effectiveness. We may ask for your name, telephone number or e-mail address and pass details to the relevant department.


MARKETING

We would like to send you information by post, email, telephone, text message (SMS) or automated call about products and services, competitions and special offers which may be of interest to you.

Other businesses within our group or which we have selected carefully e.g. Car Manufacturers we deal with, and other providers of products we supply may also send you similar marketing messages, depending on what you agree with us.

PEOPLE WHO EMAIL US

Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance with office policy. Email monitoring or blocking software may also be used. Personal information will only be used to carry out the tasks you have instructed us to carry out on your behalf and will be destroyed after maximum of 6 months.

PEOPLE WHO CONTACT US VIA SOCIAL MEDIA

If you send us a private or direct message via social media the message will be stored by W R Davies (Motors) Ltd for twelve months. W R Davies (Motors) Ltd operates and manages its social media accounts. On occasions, W R Davies (Motors) will partner with third-party manufacturer-approved agencies to conduct campaigns on our behalf. These third parties act under our instructions and are bound by this privacy policy.

OUR EVENTS

W R Davies (Motors) occasionally uses external partners or events companies including, but not limited to, Direct Affinity Events, Rhino and DPP to support us in our New Car Launches and VIP Evenings. To make you aware of these events and to be able to invite you, we need to pass your contact details to those event companies. We will always respect your marketing permissions and you will always be given the option to unsubscribe.

Any data passed to an events company is for that one-time event only and will not be used by them to contact you on any other related or unrelated topic.

TEXT MESSAGE (SMS)

We use third-party providers, e.g. TextLocal to deliver our SMS. We gather statistics around sms delivery and clicks to help us monitor and improve our sms communications. PEOPLE WHO USE W R DAVIES (MOTORS) LTD SERVICES

We have to hold the details of people who have requested a service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes. For example, we might use information about people who have requested a test drive to carry out a survey to find out if they are happy with the level of service they received. We can introduce you to a limited number of finance providers and may receive a commission from them for the introduction.

JOB APPLICANTS, CURRENT AND FORMER W R DAVIES (MOTORS) LTD EMPLOYEES

When individuals apply to work at W R Davies (Motors) Ltd, we will only use the information they supply to us to process their application and monitor recruitment statistics. Where we want to disclose information to a third party, for example where we want to take up a reference or obtain a ‘disclosure’ from the Criminal Records Bureau we will not do so without informing them beforehand unless the disclosure is required by law.
